Position Overview:

The Program Coordinator - Community Building will assist in the planning and execution of community engagement initiatives and events for local young professional women in their city. This role involves coordinating logistics, collaborating with local partners, and ensuring smooth event operations in alignment with the organization’s goals. The Program Coordinator will work closely with the Program Manager to foster community involvement and deliver impactful events. The ideal candidate should be highly organized, possess excellent communication skills, and be able to manage multiple tasks while adhering to deadlines. Experience in event planning and community outreach is essential.

Key Responsibilities:

  • Event Oversight: Assist in the planning, execution, and evaluation of community and workplace interventions, ensuring high-quality delivery in designated cities and regions

  • Team Support: Collaborate with other Program Coordinators to ensure cohesive event planning, providing logistical support and alignment across teams

  • Operational Strategy Implementation: Support the Program Manager in executing strategic plans to enhance event processes, boost engagement, and align with the organization’s overall goals

  • Budget Support: Monitor event budgets, ensuring effective resource use and assisting in maintaining financial accountability for all event-related activities

  • Logistics Management: Handle event logistics such as venue coordination, vendor management, and on-site execution, ensuring events run smoothly and meet set objectives

  • Performance Monitoring: Assist in tracking key performance indicators (KPIs) for events, gathering data for post-event evaluations to drive continuous improvement

  • Stakeholder Collaboration: Work with internal teams, community partners, and vendors to ensure effective communication and coordination for successful event delivery

  • Problem-Solving: Address logistical and operational challenges during event execution, resolving issues quickly to ensure minimal disruption

  • Compliance and Risk Management: Ensure events adhere to legal, safety, and organizational policies, identifying potential risks and working to mitigate them

  • Reporting: Contribute to post-event reports, summarizing key outcomes, lessons learned, and areas for improvement to refine future event strategies

Time commitment: 3-4 hours / week

Requirements:

  • 0-1+ years of experience in event planning, community engagement, or nonprofit operations, with a demonstrated ability to support regional or multi-city events.

  • Strong organizational skills with experience managing logistics, timelines, and event resources efficiently across multiple projects.

  • Ability to collaborate effectively with internal teams, community partners, and external vendors to ensure successful event execution.

  • Proven ability to support budget management and ensure cost-effective planning while maintaining the quality of events.

  • Excellent interpersonal and communication skills for engaging with stakeholders, team coordination, and public representation.

  • Experience in problem-solving and addressing challenges in real-time during event execution.

  • Basic understanding of event compliance, safety regulations, and risk management procedures.

  • Strong attention to detail and ability to work in a fast-paced environment while adhering to deadlines.

  • Pursuing or has a bachelor's degree (preferably in business, communications, or related fields, but open to all disciplines)
